Spec books come in PDF format from the architect or document management system (Procore, Bluebeam Studio, etc.). To analyze them:
Before pasting spec text, give ChatGPT context about what you're doing:
Type this first: "I'm a construction cost estimator reviewing specifications for a [building type] project in [city]. I need your help analyzing specific spec sections for scope, cost drivers, and potential issues. I'll paste spec text and give you specific questions."
Paste the spec section text and follow immediately with your question. Structure: paste text, then ask.
Effective questions:
As you analyze each division, ask ChatGPT to add to a running summary:
Division overview: "Summarize Division [number] for estimating purposes. List: scope inclusions, exclusions, specified products, submittals, and any unusual requirements."
Scope boundary check: "Where does Division [number] scope end and Division [number] scope begin? Who is responsible for [specific item, e.g., connections between equipment and piping]?"
Alternates and allowances: "List all alternates, allowances, and unit prices required by these specifications. Format as a table with description and which division requires them."
