of 6— Gather and prepare your historical data

What you'll accomplish

You'll upload your past bid summaries, job cost reports, and unit cost records to Claude Pro and be able to ask questions like "What did we pay for concrete slab-on-grade on our last 5 healthcare projects?" instead of hunting through old files. This turns years of institutional cost knowledge into a queryable resource that junior estimators can access, one that doesn't walk out the door when a senior estimator retires.

What you'll need

  • Claude Pro subscription ({{tool:Claude.price}}): Sign up
  • Past bid summaries in PDF or Excel format (even 5-10 projects to start)
  • Job cost reports or actuals if available (optional but valuable)
  • Time needed: 1-2 hours to upload and organize first batch; 15 minutes per query after
  • Cost: {{tool:Claude.price}} per month

How-To Guide: Historical Cost Analysis with Claude Pro

Step 1: Gather and prepare your historical data

Before uploading, collect what you have. You don't need everything. Start with what's accessible:

  • Bid summaries: one-page estimate summaries showing total cost by CSI division or trade
  • Unit cost records: any spreadsheets showing cost per SF, per LF, per CY for work items
  • Job cost reports: actual costs from completed projects showing what things really cost vs. estimate
  • Scope notes: any notes about what was included/excluded in each project

Organize files by project type in a folder (Healthcare, Office, Warehouse, Education).

What you should see: A folder with 10-30 files covering past bids and job costs.
